Wedding day timeline template (and what to do when you run late).
Every wedding timeline looks calm in a spreadsheet two weeks before the wedding. On the day itself, hair and makeup runs 15 minutes over, family group photos take longer than planned, or rain moves cocktail hour indoors. Here are three proven timeline structures—and how to keep your DJ, photographer and caterer in sync without a chaotic WhatsApp group.
1. Classic afternoon & evening wedding timeline
- 12:30 · Getting ready (2h 30m) — Hair and makeup finish 45 minutes before leaving; photographer arrives for detail and dress photos.
- 15:30 · Guests arrive (30m) — Musicians or DJ play prelude playlist; ushers seat immediate family.
- 16:00 · Ceremony (40m) — Processional, vows, recessional and confetti.
- 16:45 · Drinks reception & group photos (1h 15m, outdoor) — Keep the family formal photo list to 8–10 combinations (about 3 minutes each) so you enjoy your own drinks.
- 17:20 · Couple portraits before sunset (25m) — Timed 30–45 minutes before local sunset for golden hour light.
- 18:15 · Guests seated & entrance (15m) — Entrance song cue for the DJ.
- 18:30 · Dinner & speeches (2h) — Put speeches either before the main course or between main and dessert so hot food isn’t held in the kitchen.
- 20:30 · Cake cutting & first dance (15m) — Photographer and DJ cued together, then open the dance floor.
- 21:00 · Evening party & late-night food (3h) — Fixed-time items like fireworks or venue curfew marked so they never move.
2. Multi-day & destination wedding timeline
For South Asian weddings (Mehendi, Haldi, Sangeet, Shaadi, Reception) or 3-day destination weddings (Welcome drinks, Wedding day, Recovery brunch), give each day its own named schedule rather than cramming 40 rows into one sheet. Note travel times between hotel and venue, and always write an indoor Plan B place for every outdoor moment.

Why PDF and spreadsheet timelines break on the wedding day
- Nobody reads a 6-page master PDF on their phone. Your DJ only needs music cues and start times; your caterer only needs service times; your photographer needs the must-take photo list and golden hour.
- Language barriers at destination weddings. If you’re getting married in Italy, Spain, Greece, Thailand, Bali or Mexico, local suppliers work faster when schedule labels and updates appear in their language.
- Running 15 minutes late means texting 6 suppliers. When speeches run over, someone has to message the caterer, DJ, band and photographer one by one.
